An approval pauses a request or automation until an eligible person decides it. Flow checks your eligibility for the current stage before accepting a decision. Your team or organization role alone does not make you a stage approver. Organization administrators must give a reason when using an available override action. Who approves, how many stages apply, and what happens after a decision depend on the configured approval procedure. Flow does not automatically approve every request.

Decide from a notification

Select Review approval in your Flow notification to open that request. The link works even when the request is not among the recent approvals on Home. Flow shows the current status and the actions available to you. Approval access does not grant access to the related conversation. If the request is complete or your access has changed, Flow does not let you submit another decision.

2

3

Ask follow-up questions.

If the request does not include the context you need, ask the requester before deciding.
4

Decide.

Select Approve or Deny in the header.
On Home, the reject action is labeled Reject. It is labeled Deny when you decide as an organization administrator. The conversation header always shows Deny. All of these record the same rejected decision.
If the header actions are unavailable, return to Home → My approvals. If the request has no action there, it is not routed to you or it no longer needs a decision. Keep the conversation In progress while an approval is waiting. Resolve it only after the required decision and fulfillment work are complete. An approved request continues to the next stage or fulfillment. A rejected, expired, or canceled request stops according to its approval procedure.
